Model situation of company not using operating leases:
Within the framework of its strategic specialization a newly-originating company needs to secure mobility for 30 employees. Supposing the basic investment into one vehicle is 17.000€, the company has to count with starting costs in the amount of 510.000€ which will cover vehicles for the company. The other possibility is to prosper from financial leasing. It is usually necessary to pay 20% of the sum as the down payment which, in this case, means 153.000€. Whether you choose the first or the second option, your basic investment will be quite big. Car fleet administration is often provided by one appointed employee who is responsible for all the administrative operations. All the vehicles must be specified, ordered, purchased, registered, insured, maintained, provided with motor oil and driving fuel. The work of above mentioned employee is certainly inestimable, but it brings incidence to the wage administration. Except from the salary for this extra worker, it is needed to count with other expenses connected with his workplace, its equipment (i.e. PC, Office supplies), heating, electricity, training, etc. It is also indispensable to give current financial department extra work connected with accounting of all investments in the car fleet. If we assume that the cars do on average 40,000 km a year and that it is needed to change seasonal tires, then all these cars must be driven to the car service at least four times a year; twice due to the change of tires and twice due to a performance check after every 20,000 km. If we sum up all these arrangements with/plus the insurance costs, we can conclude/say that each of these vehicles has to go through some kind of statutory obligation five times a year. Consequently there are five invoices or receipts of payment per one vehicle, without mentioning invoices for fuel and motor oil. Settling out insurance events, paying road traffic tax and purchasing highway stickers restrict the time of the worker responsible for the car fleet. A lot of extra work is related to the organization of work activities at financial department. All these facts have influence on increasing costs of the company, even though by many they are not seen as costs related to the car fleet.
